Senior Clerk – C.O.R.E
General Duties: This person, working under the direct supervision of the C.O.R.E Manager of the Honolulu Emergerncy Services Department, performs a full range of duties associated with the preperation of various payroll related records, forms, and performs a variety of clerical assignments as directed.
Overall Responsibilites: 65%
1. Calculates, prepares and inputs the Payroll Time and Attendance, from the C.O.R.E personnel timecards, into the CCHPTA System. Verifies, calculates as needed, and processes mileage, meals, sick/vacation/administrative/military and other leaves; investigate and answer queries by Division personnel relating to payroll, meal and mileage reimbursement, and make adjustments to payroll with approval as necessary.
2. Keeps the payroll records and files for all Department employees; checks reports submitted by supervisors and others for accuracy, completeness and compliance with the Budget and Fiscal Service’s policies and procedures and collective bargaining agreements.
3. Checks questions raised by the Budget and Fiscal Service’s payroll section, verifies data and resolves discrepancies.
4. Prepares forms for employees requesting changes in payroll deductions.
5. Maintains records on overtime, sick leave and employee’s leave records within C.O.R.E.
6. Maintains files of employee’s time cards.
7. Answers questions raised by employee’s pertaining to their pay.
Clerical Duties: 25%
1. Types letters, memoranda, reports, schedules, requests and other materials into final form from rough or corrected copies and/or drafts.
2. Checks and proofreads typewritten materials for accuracy, completion and conformance to established departmental procedures.
3. Sorts, arranges and files reports, requests and other miscellaneous materials and correspondence.
4. Operates standard office machines (computer, copier, phone, etc.)
5. Distributes information and materials.
6. Answers telephone and takes or relays messages and calls.
7. Operates copy machine and uses the machine for reproduction of various materials.
8. Maintains and organizes C.O.R.E shared folder
9. Inventories, tracks and maintains logs (Uniform distribution, phone numbers, equipment, etc.)
10. Submits Purchase Request eforms for C.O.R.E payments for goods and services
11. Makes payment to vendors using a City Issued Purchasing Card
12. Reconciles Purchasing Card on a Weekly Basis
13. Tracks and maintains log of purchases
Other Duties and Responsibilities: 5%
1. Performs other related duties as assigned.
